Student Employee Instructions

Ronée Woodley, Dean’s Suite Administrative Coordinator, is responsible for all student hiring. The Law School will be following the University’s HR guidance in relation to COVID-19 procedures by exclusively utilizing digital resources for Fall 2020 hiring.

For information about working while enrolled as a  Law Student, please refer to the Student Handbook, section IV. G.

Hiring Process for Returning Student Employees

  1. The faculty or staff member serving as supervisor will inform Ms. Woodley of the student(s) they have selected for employment and the maximum number of hours the student is authorized to work if fewer than 15 hours per week.
  2. Ms. Woodley will email a 'Rehire Offer Letter' to the student(s) selected for employment. The student must sign and return the offer letter to Ms. Woodley by emailing a scanned PDF copy to woodleyr@law.sc.edu. Ms. Woodley cannot complete the hiring process without this signed letter.
  3. Once the student has been entered into the HR system, the student will receive notification from HR that they have been fully approved, may begin working, and to complete Onboarding tasks to finish the hiring process.
  4. Students cannot begin working until they have received written confirmation that they have been approved for hire by HR.

Hiring Process for NEW Student Employees

  1. The faculty or staff member serving as supervisor will inform Ms. Woodley of the student(s) they have selected for employment; that professor or staff member will serve as the student’s supervisor.
    • Students who have not previously been employed with the Law School are required to present proof of their eligibility to work in the U.S. as part of the hiring process. I-9 Advantage is the software application the University uses to facilitate this process. Please see the link below for the complete Federal listing of acceptable identification documents.
  2. Ms. Woodley will email an 'Offer Letter' to the student(s) selected for employment. The student must sign and return the offer letter to Ms. Woodley by emailing a scanned PDF copy to woodleyr@law.sc.edu. Ms. Woodley cannot complete the hiring process without this signed letter.
  3. Students will then receive an email from I-9 Advantage asking them to complete Section 1 of the electronic I-9 form within three (3) days of receipt of the email.
  4. Ms. Woodley will email students a link to information about using Microsoft Teams to video chat and save a PDF copy of required documents referenced below. 
  5. After completion of Section 1 of the I-9 Advantage form, students must set up an appointment with Ms. Woodley to connect through Microsoft Teams to provide the official forms of identification needed to verify eligibility to work in the U.S. A list of acceptable documents can be found on the U.S. Citizenship and Immigration Services website. Ms. Woodley will be available any time  M-F between 9 am -  1pm and 2 - 4:30 pm. 
  6.  Once Section 2 of the I-9 Advantage has been completed the student will be entered into the HR system, the student will receive notification from HR that they have been fully approved, may begin working, and to complete Onboarding tasks to finish the hiring process.
  7. Students cannot begin working until they have received written confirmation that they have been approved for hire by HR.

Resources for Student Employment

HR has created a new Student Employment webpage with resources and instructions for entering and submitting timesheets, direct deposit, pay schedules, etc. for both students and supervisors.

Reporting Time Worked

As noted on the University's Student Employment webpage, all students will be paid on a lag.

RAs/ASP Tutors and Departmental Employees

Students must submit their hours into the iTAMS system each week on Saturday, or by noon the following Monday, so their supervisor can approve their timesheet by the payroll cut-off date. Students should check with their supervisor to confirm their work schedule. 

LRAW Tutors

LRAW Tutors are paid a salary and do not need to submit their hours each week. 

Work Study Students

The beginning and end dates for Work Study students are determined by the Financial Aid Office. Students will need to submit their hours into the iTAMS system each week on Friday, or by noon the following Monday, so their supervisor can approve their timesheet by the payroll cut-off date.  Students should check with their supervisor to confirm their work schedule.
